We encourage our international buyers to review this list with us before finalising an order. Each phase closes only when both sides have confirmed in writing.

Product Specification & Quality Agreement

Before we sign the contract, we define the product down to the microscopic level.
The checklist
  • Exact product name and HS code, for example HS Code 09103020 for turmeric.
  • Grade or variety specified, for example Salem, Nizamabad or Lakadong.
  • Chemical parameters defined: curcumin percentage, moisture percentage, ash content.
  • Physical parameters: polish type, mesh size for powder, impurity limits.
  • Testing protocols: agreed lab tests such as aflatoxin, Sudan dye and pesticide residue.

Buyer requirement: I need turmeric.

MeeThought clarification: we need specifics to quote correctly.

  • Type: turmeric finger, double polished
  • Variety: Salem grade
  • Curcumin: guaranteed above 3 percent
  • Moisture: below 10 percent
  • Lab check: negative for salmonella and E. coli
  • Sudan dye: not detected

Commercial & Financial Terms

Clear money terms prevent disputes later.
The checklist
  • Incoterms 2020 selected, for example FOB Chennai, CIF New York or DAP Dubai.
  • Payment terms locked, for example 50 percent advance via T/T, balance against scan BL.
  • Currency fixed: USD, EUR or GBP.
  • Lead time confirmed: production plus transit time estimation.
  • Minimum order quantity confirmed: feasibility of LCL against FCL.
Why this phase matters

The Incoterm decides who pays freight and who carries risk at each leg. The payment structure decides when production starts. Fixing both in writing is what turns an enquiry into a schedulable order.

Prices quoted in foreign currency stay valid for seven days from issue of the proforma invoice.

Packaging & Labeling

The first impression. Packaging must survive the ocean and meet your country's retail laws.
The checklist
  • Primary packaging material: jute gunny bags, PP bags or vacuum packs.
  • Unit weight: 25kg bulk bag or 500g retail pouch.
  • Marking and labeling instructions: product name, Produce of India, net weight, batch number and expiry date, and the buyer's brand name if private label.

Standard bulk: 25kg new PP, polypropylene, bags with inner liner to prevent moisture absorption.

Documentation

The customs key. The most critical phase, where one typo can hold up a container.
The exporter's job, ours
  • Commercial invoice, detailed with values.
  • Packing list, detailed with weights and dimensions.
  • Bill of Lading, the title of goods.
  • Certificate of Origin, non-preferential or GSP Form A for duty benefits.
  • Phytosanitary Certificate, certifying the cargo is pest free.
  • Certificate of Analysis, the lab report for the specific batch.
  • Insurance certificate, if on CIF terms.
The importer's job, yours
  • Import licence: do you have the right to import this into your country?
  • Duty check: have you checked the import duty percentage with your local customs broker?
  • Restricted substances: for example, checking if specific pesticides are banned in your country.

Logistics & Clearance

Moving the goods.
The checklist
  • Freight booking: container booked with the shipping line, Maersk, MSC and similar.
  • Vessel schedule: ETD, departure, and ETA, arrival, shared with the buyer.
  • Draft documents approval: we send draft copies of documents by email. You must approve them before we print originals.
  • Original documents dispatch: sent by DHL or FedEx to the buyer, or to the bank, after payment.
Avoiding port penalties

Demurrage is charged by the shipping line if the container is not collected within the free days. Detention is charged if the empty container is returned late.

Where the line allows it, we negotiate extended free days at destination so your broker has room to clear customs without paying fines.

Turmeric carries one specific risk that every serious buyer checks for. Some unethical traders have historically used red dye to improve appearance. On every turmeric consignment we state it plainly on the Certificate of Analysis: Sudan Dye, not detected.
